How to Forward Email and Add an Account to Gmail

Some of you are already using and are used to the interface of Google’s mail client , Gmail. As it is possible to add other email accounts linked to your domain to this email client, we have prepared the following guide for this purpose. In this article we have used vasadomena.si as an example.

Settings to receive emails

There are two ways to receive emails from other accounts, and one way to send emails from another email address.

Transferring email via POP protocol (recommended)
Redirect email to Gmail
Settings for sending email

We recommend using the POP protocol to receive emails rather than setting up a forwarding rule to Gmail. The POP method allows Gmail to establish a secure connection directly to the original mail server, which helps prevent messages from being marked as spam or spoofed.

Additionally, using POP ensures that Gmail retrieves messages on behalf of the user rather than acting merely as a forwarder. This preserves the correct DKIM, SPF, and DMARC authentication records and reduces the risk of the original server blocking forwarded messages due to SPF protection or antispam filtering rules.

1. Transferring emails via POP protocol

You can import other email accounts into your Gmail account, just like you can import other email accounts into your email viewer (such as Outlook), except that you can access Gmail from any location.

1. Log in to your Gmail account.

2. Click on the settings icon in the top right corner and select Show all settings from the menu.

3. Click on the Accounts and imports tab.

4. In the Import Mail and Contacts section, click on Import Mail and Contacts.

5. Enter the email account you want to import.

6. Enter your details:

A) No SSL encryption

Email password: enter the current password for the email account you wish to import
POP username: enter the full email address
POP server: enter mail.vasadomena.si, where instead of vasadomena.si you enter your actual domain

Then click the Edit button and check your settings:

Port: 110
Use SSL: no tick

Click Next.

If you receive a message that the validity of your email address and password combination could not be verified, simply re-enter the correct details and click Next.

B) With SSL encryption

Email password: enter the current password for the email account you want to import
POP username: enter the full email address
POP server: enter mail.vasadomena.si, where instead of vasadomena.si you enter your actual domain

Then click the Edit button and check your settings:

Port: 995
Use SSL: with a tick

Click Next.

If you receive a message that the validity of your email address and password combination could not be verified, simply re-enter the correct details and click Next.

7. Select the email import options and click the Start Import button. If you want a copy of the message to be saved on the server, also tick the option: Leave a copy of the retrieved message on the server. Importing mail can take up to 48 hours or more.

Now you will also receive all mail from your mail account on your domain in Gmail. If you also want to send mail from a Gmail account under your domain, follow the instructions for Sending email via Gmail from another email account.

Email may arrive in Gmail slightly late because Gmail does not automatically refresh the connection very often. You can also refresh it manually by clicking on the settings icon in Gmail (top right), then selecting “Find all settings” -> “Accounts & imports” from the menu, and then clicking “Check for new mail” next to the desired email address in the “View emails from other accounts” section.

2. Redirect emails to gmail

You can redirect emails to another address (for example, your Gmail account) in the cPanel control panel.

1. Log in to cPanel.

2. Locate the Email icons section and click on Forwarders.

3. Click the Add Forwarder button to create a new forwarder.

4. Enter the email addresses to be forwarded and click the Add Forwarder button.

This will forward all emails from the mail account on your domain to your Gmail mail account. If you also want to send mail from a Gmail account under your domain, follow the instructions for Sending email via Gmail from another email account.

3. Settings for sending email

1. Log in to your Gmail account.

2. Click on the settings icon in the top right corner and select Show all settings from the menu.

3. Click on the Accounts and imports tab.

4. In the Send email as section, click on Add email address.

5. Enter your details:

Name: enter any name
E-mail address: enter your full e-mail address

Then click the Next Step button.

6. Enter your details:

A) No SSL encryption

SMTP server: enter mail.vasadomena.si, where instead of vasadomena.si enter your actual domain
Username: enter your full email address
Port: 587
Select option: TLS secured connection

Then click on the Add account button.

B) With SSL encryption

SMTP server: enter mail.vasadomena.si, where instead of vasadomena.si enter your actual domain
Email address: enter your full email address
Port: 465
Select option: SSL secured connection

Then click on the Add account button.

7. You will receive a confirmation code to the email address you are redirecting, enter it in the empty field and confirm your entry by clicking the Confirm button.

Congratulations, you have successfully redirected your account and added, Optionally, you can also select the option in the Gmail client settings to have the email sent from the same address you received it. This can also be set under the Accounts & Imports tab .
